The logbook

The point of sale shows today's receipts. The Logboek (logbook) shows every receipt of one day of your choice — yesterday, last week or two years ago — and lets you open and put right each receipt.
Where
At the top of the point-of-sale screen there is the button Logboek. You see it if you may settle or reverse. Terug naar de kassa (back to the point of sale) takes you back to today.
You can also get there from Rapporten → Dagontvangsten (reports → daily takings): when the report shows a single day, the button Logboek van deze dag (logbook of this day) takes you to the logbook of that day.
Choosing a day
The day is at the top. The arrows go one day back or forward; tap the date itself for the calendar, to pick a day long ago. When you are not on today, Vandaag (today) takes you back.
What you see
At the top the day totals: the total, the number of receipts (and reversals) and what came in per payment method. These are exactly the figures of Rapporten → Dagontvangsten for that day — the report that goes to your accountant. A reversed receipt and its reversal do appear in the list, but they do not count, just as in the report.
Below that every receipt of that day, in the order it was closed, and at the end the receipts opened that day that are still open. Per receipt:
- the time;
- the client — or Losse verkoop (walk-in sale); if several people paid together, they are all shown;
- the staff members on the lines;
- the lines, in short;
- the payment method;
- HairConnect or Optios: where the receipt was closed;
- the invoice, if one was made;
- the total and the status: Betaald (paid), Tegengeboekt (reversed), Tegenboeking (reversal) or Open.
If the day is already with your accountant, it says so at the top.
Opening a receipt
Tap a receipt. It opens on the same receipt panel as at the point of sale, with the same buttons: Bon opnieuw afdrukken (print again), Factuur maken (make invoice), Tegenboeken (reverse) — and Corrigeren (correct). Overzicht (overview) takes you back to the logbook of that day.
Correcting a receipt
A closed receipt does not change. If something is wrong — a price, a discount, a line too many or too few — you use Corrigeren:
- Open the receipt and click Corrigeren.
- Pick a reason (Verkeerde prijs (wrong price), Korting vergeten (discount forgotten), Verkeerde medewerker (wrong staff member), Verkeerde klant (wrong client)) or type one yourself. The field Reden (verplicht) (reason — required) asks for at least three characters.
- Click Corrigeren.
What happens then:
- the receipt is reversed, with your reason — as with Tegenboeken;
- a new receipt opens straight away with the same client, the same lines and the same staff member per line;
- the payment made back then is already on that new receipt. The client does not pay again, and with Bancontact the terminal does not start.
Adjust the new receipt like any open receipt and close it:
- if the total stays the same, you close it straight away;
- if it became more expensive, you charge the difference;
- if it became cheaper, it says Terug te geven (to give back). Give back the difference and choose how: cash, or a card — then the salon refunds it itself, the terminal is not started.
The new receipt gets the time you close it, not that of the old receipt. In the logbook of the old day the original receipt says Gecorrigeerd: vervangen door de bon van … (corrected: replaced by the receipt of …); open the new receipt and it says Correctie van de bon van … (correction of the receipt of …).
A gift card sold and credit topped up do not move to the new receipt: the reversal withdraws them. Ring them up again if they stay; the point of sale tells you when that is the case.
Correcting also works on a receipt from Optios. It is not possible on a receipt with an invoice that has not been credited yet — the window says so straight away.
Putting the staff member or the client right
Was the wrong staff member on a line, or the wrong client on the receipt? No correction is needed for that: the amount does not change.
- Staff member: tap the line, choose the right staff member and click Bewaren (save). Quantity, discount and price stay locked; you change those with Corrigeren.
- Client: choose another client at the top of the receipt, or make it a walk-in sale.
Every change goes into the back office log, with the old and the new name and who did it.
Putting the client right is not possible on a receipt with an invoice (credit the invoice first, or use Corrigeren), nor on a receipt where client credit was used or topped up, or a gift card was sold: that balance belongs to the client who is on it now.
Who may do what
- Opening the logbook: whoever may settle or reverse.
- Correcting, reversing and putting the staff member or client right: whoever may reverse. See Adding a staff member, block Rechten (rights).
Whoever lacks a right does not see the button.
Frequently asked questions
Why is a corrected receipt still in the logbook? Because it was sold. It is shown as Tegengeboekt, no longer counts, and says where the correction is.
I corrected a receipt from last month. Where is the new receipt? On the day you closed it, with the time you closed it. On the old day the original receipt is shown as Tegengeboekt, with a reference to the new one.
