Your supplier's promotions

Your sales rep promises deals: an extra discount per 20 products, a gift from € 2,000, two free bottles per tier. Those deals rarely appear on your order form, and never in your head at the moment you place the order. HairConnect counts them for you while you are building the order.

Where do I find it?

Two places, and they belong together:

  • Instellingen → Promoties (Settings → Promotions) — where you enter what your rep passed on.
  • Voorraad → Bestellen (Stock → Ordering), opening an order — where you see what those deals are worth on this order.

Entering a promotion

Click Nieuwe promotie (New promotion) and copy in what the e-mail said.

Field Explanation

Mind the scope. If the e-mail says per 20 OTC products, your colour does not count towards it — choose Retail products only. Leave it on The whole order and HairConnect will promise you a tier you will not get.

Two rows that form one choice

Sometimes a single deal promises two things at once: 10% discount AND 14 free bottles. That is two rows in HairConnect, because one row carries one benefit. Switch Mag samen met andere acties off on both and give them the same name under Hoort bij dezelfde keuze als (Belongs to the same choice as). HairConnect then adds them up as one possibility.

Where a promotion comes from

The Herkomst (Origin) column shows whether a deal came from the web shop or whether you typed it in yourself. That is not a label but an agreement:

  • Uit de webshop (From the web shop) — updated at every harvest. Anything you change there will be lost.
  • Zelf ingevuld (Entered by you) — stays put. You know things the web shop does not say.

Already when you prepare an order

You no longer have to open the order to see what is there to be had. Prepare one with Bestelling klaarzetten (prepare an order) under Voorraad → Bestellen (Stock → Ordering), and it is in the notification that follows:

Wella Belgium, Per 10 stuks een Dark Oil gratis: 1 more for the next tier of 10. Add 1 × Invigo Shampoo for € 5.00 and the deal gives 1 × Dark Oil Shampoo (€ 29.80) — less than a week of your consumption.

The supplier's name is in there, because preparing creates one order per supplier — and then you need to know which of the four to open. If more than three deals are in play, the notification names the three that matter most and the rest is in the block on the order.

If there is something to add that reaches the next tier, one window follows immediately: Je leverancier heeft hier een actie op (your supplier has a deal on this). You pick one proposal and click Overnemen (take it), or you pick Nu niet (not now) — then nothing happens and you can still do it later on the order itself. If two deals exclude each other, both are listed with that note; you take over one, and the other is off the table.

That window appears only when there is a proposal: something to add that reaches that tier. Whether it pays off in money or in a gift, and whether it costs more than it gives, makes no difference — that judgement is yours and not ours. What is merely within reach without your being able to close the gap is in the notification and in the block on the order: that is a measurement, not advice to grab it.

An order from a note on paper gets those sentences in its notification too. No window there: after preparing, that screen takes you to your list of deliveries, and the button is on the order itself.

What you see on the order

Open an order under Voorraad → Bestellen (Stock → Ordering). If there is something to be had, a block appears at the top with five kinds of lines:

  • What you already have — which deals are reached, how often, and what they are worth.
  • What is within reach — you are at 118 items, 2 more for the next tier of 20, or another € 340 to reach the € 2,000 deal.
  • What you can add for the next tier — which products to add and how many, what that costs, what the deal gives, and how much stock you are buying with it.
  • This gets you a gift — what it is worth is yours to judge — the same three things, but no amount for what you receive. It says what you get: 1 × speaker.
  • These deals exclude each other — pick one — the possibilities side by side, with their outcome.

If there is nothing to report, the block is not shown. That is deliberate: a panel that says no promotions every day stops being read after a week.

Three numbers, and you decide

A proposal reads like this:

Summer Reset: leg 13 × Koleston Perfect bij voor € 126,10 en de actie geeft 2 × Welloxon Perfect 1000ML (€ 36,60) — ongeveer 8 weken van je verbruik. (add 13 × Koleston Perfect for € 126.10 and the deal gives 2 × Welloxon Perfect 1000ML (€ 36.60) — about 8 weeks of your consumption.)

Three numbers are in there, and they belong together:

  1. what adding it costs — the purchase prices of the items that come along;
  2. what the deal gives — in euros, or in words for a gift;
  3. how much stock that is, expressed in your own consumption over the past eight weeks.

That third number is the one that matters. Spending € 126 for € 36 looks like a bad trade, until you see that those 13 tubes are eight weeks of your consumption: stock you use up anyway is not a cost. Whether that money can sit still for a while is something you know and your software does not.

That is why HairConnect no longer holds back any proposal. It calculates, it puts the numbers side by side, and it leaves the decision with you.

No number of weeks? Then we measured no sale and no usage of that product over the past eight weeks. Better no number than an invented one — especially this one, because it is the number you decide on.

A gift is proposed too

Many of your supplier's deals do not give a discount but something in kind: a speaker, a case, free bottles. Such a proposal is shown just the same, with the items you would add, what they cost and how much stock that is. What the gift itself is worth is not shown — we do not know it, and we do not invent it. That estimate is yours: you know whether that speaker does anything in your salon or ends up in the cellar.

That is why the two kinds of proposal are kept apart rather than under one heading. What is fully in figures sits on top; the gift comes below it.

Taking the proposal

Above the order sits Voorstel overnemen (Take the proposal). You pick which proposal, and only then are the items added — if a product is already on the order, its quantity goes up instead of a second row appearing.

In that list, each line carries the same sentence as the block: what it costs, what the deal gives, and how many weeks of stock that is. For a gift it adds Wat dat waard is, schat jij in (what that is worth is yours to estimate). The proposal with its amount comes first.

HairConnect never puts anything on your order without that button. It calculates, it shows, and it waits for you. That holds throughout this package: the system proposes, you confirm.

What it deliberately does not do

  • It never proposes something you do not carry. The products in a proposal come from your own range, and only from what has actually been sold or used in the past weeks. A bottle nobody asks for does not buy you a tier.
  • It does not decide whether a tier is worth it. It says what it costs, what it gives and how much stock that is — and then it stops. Until recently it held a proposal back as soon as adding cost more than the deal brought in; that is gone, for the reason above. A proposal stays away only when there is nothing to be had, or when what you carry cannot close the gap to the next tier.
  • It puts no amount on a gift. What a speaker or a case is worth, we do not know, and we do not invent it. You see what you get, what it costs to get there and how much stock that is; how much that weighs is yours to judge.
  • It does not choose for you. For deals that exclude each other, HairConnect lays the possibilities side by side with their outcome. Which one it becomes, you pass on to your rep.

Promotions that still need completing

When HairConnect harvests promotions from your supplier's web shop, not everything comes along. At Wella the public promotions page does carry a promotion's code, but not how many items it takes or exactly what it gives — that only appears in your own signed-in screen, in a shape we cannot read. Those fields therefore stay empty rather than guessed.

Such a promotion does nothing: there is nothing to calculate with. So HairConnect shows them instead of letting them lie:

  • next to Settings → Promotions a yellow number shows how many promotions still need completing;
  • in that list they are marked To complete, and the To complete filter groups them;
  • at the bottom of the block on your order you read how many are waiting;
  • and the notification after preparing an order says it as well.

Open the promotion and fill in what your representative or the promotions page says: from how many it counts, what it counts on, and what it gives. From then on the order screen takes it into account.

In the e-mail to your supplier

If you send the order by e-mail (Versturen naar leverancier, Send to supplier), the deals you reached are listed, along with the possibilities still to be chosen between. That lets your rep check whether he counts the same as you do. If he does not, you know before the invoice arrives.

Something is off

A euro threshold looks too high. A note at the bottom of the block then reports order lines without a purchase price. Such a line counts as zero. Enter the purchase price on the product record or on the line itself.

A free product has no amount. Open the deal and fill in Welk product krijg je gratis (Which product is free). Without that product HairConnect does not know its value.

A deal does not count. Check three things: is it Actief (Active), does today fall within Van / tot en met, and does the scope match what is on your order.
