The wording of your messages
Updated on 2026-08-28
Instellingen → Berichten (Settings → Messages). The page title reads Berichten aan uw klanten — Messages to your clients.
Lees eerst wat uw klant nu krijgt. Pas daarna aan — en alleen wat u zelf beter kunt zeggen. — First read what your client gets today. Only then change something — and only what you can say better yourself.
On Email to your clients you decide what goes out. Here you see what it looks like and rewrite the sentences that are yours.
Four tabs
One per message type: Afspraakbevestiging (appointment confirmation), Herinnering (reminder), Niet gekomen (no-show) and Verplaatsing (moved). Every tab has the same three parts: the switch, your own text, and the preview.
The preview
At the bottom of each tab is the email exactly as your client receives it: your colours, your logo, your address in the footer. It refreshes as soon as you click out of a text box, so you see your change before you save.
The data in it is made up. The client is called Sofie Voorbeeld (Sofie Example), the appointment is three days out, and no calendar file is attached. We never pull in a real client — not even "to make it more lifelike". The services and the staff member you see are yours: that is your own data, not a client's.
What you can change
| Field | Where it appears | Leaving it empty means |
|---|---|---|
| Aanhef (salutation) | the first line | our standard salutation (Dag Sofie,) |
| Inleidende zin (opening sentence) | above the appointment details | the standard sentence for that type |
| Afsluiting (closing) | below the appointment details | the standard sentence for that type |
| Ondertekening (sign-off) | below the closing | no sign-off |
The grey text in each box shows what goes there today. That is your starting point.
Multiple lines are fine: a line break in the box becomes a line break in the email.
What you cannot change
The block with the date, time and services. The button to the client portal. The cancellation terms. The footer with your address and phone number.
That is not stinginess. Those parts carry function — a portal link that disappears is a client on the phone — and law: until when someone can cancel free of charge belongs in every email. The cancellation text itself is set under Setting up the booking page.
Putting data into your own text
Between curly braces you put whatever differs per appointment:
| What you type | What your client reads |
|---|---|
{klant} |
your client's first name |
{salon} |
the name of your salon |
{datum} |
the date of the appointment, written out |
{uur} |
the start time |
{einduur} |
the expected end time |
{diensten} |
the services of this appointment, one after another |
Only Verplaatsing (moved) adds {vorige_datum} and {vorig_uur}: the moment the appointment was originally set for. In the other three types that moment does not exist.
Type anything else between braces and we do not save it. You get an error naming the list of what is allowed. That is deliberately strict: a {voornaam} where we say {klant} would otherwise end up as a blank gap in your client's inbox, and nobody would notice — except the client.
Do you really want a curly brace in your text? That is not possible. Write the sentence differently.
On and off
At the top of each tab is Dit bericht versturen (send this message). That is the same switch as under Instellingen → E-mail: flip it here and it is flipped there too. There is one setting, not a copy.
The master switch (Mails versturen) deliberately lives only on the email screen. If it is off, a warning appears at the top here: what you write is saved, but nothing goes out.
Your language and your client's
Your text applies to clients who have your language on their record — the language of your salon. A client with French, English or Bulgarian on their record gets our standard text in their own language.
That is a choice, not an oversight: sending a Dutch sentence to a French-speaking client because you once typed it is worse than sending them a proper French standard sentence. Do you want your own sentences for your French-speaking clients too? Let us know — the data is already set up for it.
What is not included here
The a slot has opened up message from the waiting list. That message has no appointment yet and therefore no on/off switch; for now it keeps its standard text.
Saving
After saving: Bewaard — Berichten die vanaf nu vertrekken, dragen deze tekst. — Saved — Messages that go out from now on carry this text.
Messages already queued go out with the text in force at the moment of sending — so with your new text.
