Searching and filtering the client list

The client list answers one question you actually ask every week: who should I call? Who has not been in for months, who once had that particular colour, who bought the product that is on offer now.

You find the list under Klanten → Klanten (Clients → Clients).

Searching

The search box at the top searches first name, last name, email, mobile and town at the same time. You may type first and last name in any order: pede anne and anne pede both find the same client.

Filtering

To the right of the search box is the Filter button. The filters combine: switch on two and you only see the clients who match both. That is how you build a call list like "everyone who ever had a colour and has not been in for nine months".

Under the button, every active filter shows a label. Click the cross to remove that one filter.

Laatste bezoek — last visit

Two fields, usable separately or together.

Field What it does
Niet meer geweest (not been in for) a fixed period: 3, 6 or 9 months, a year, 18 months or two years
Of: niet meer geweest sinds (or: not been in since) a date you pick yourself

Nog nooit geweest (never been in) is a separate choice in that list. It is not the same as having drifted away: a record created yesterday has no visit either, and it does not belong in a call list of clients you have lost.

Two things do not count as a visit:

  • a cancelled appointment and a no-show — the client was not there;
  • an appointment that is still to come — it is booked, not had.

So someone booked for next week who has not been in since last year does appear in the list. Glance at the record before you call.

Heeft dienst gehad — had this service

Pick a service from the list. You get the clients who actually had it: an appointment in the past that was neither cancelled nor a no-show.

This looks at the calendar, not at the till. That is deliberate: your salon's appointments go back years, while the receipts only cover the recent ones. If this filter looked at receipts, the client who had a balayage in 2021 would be invisible — and she is exactly the one you are looking for.

Heeft product gekocht — bought this product

Type a few letters of the product name and pick from the results. You get the clients with a closed receipt carrying that product.

A receipt that is still open does not count — that is a sale in progress. A voided receipt does not count either: that sale did not go through.

The filters that were already there

Zonder e-mail én gsm (without email and mobile) clients you cannot reach in any way

What happens to your selection

The list stays a list: on screen you see name, mobile, town and number of visits. Click a row to open the record. The mobile number has a copy button.

Nothing is sent from this screen. Filtering shows you who is concerned; calling or writing you do yourself.

Frequently asked questions

Why does a client without any visit show up under "not been in for 6 months"? Because there is no visit, and therefore no visit in the last six months either. If you want those clients separately, choose nog nooit geweest (never been in).

I am searching for a client I know exists, and I cannot find them. Is a filter still on? Under the Filter button every active filter shows a label. Click the crosses away.

Can I filter on a service category instead of a single service? Not yet. Today you pick one service at a time.

Can I filter on clients carrying a certain tag or label? Client labels do not exist in HairConnect yet.
