WhatsApp confirmations and reminders
Updated on 2026-08-30
Bevestigingen en herinneringen via WhatsApp, zonder kost per bericht. (Confirmations and reminders via WhatsApp, with no cost per message. Only for customers who tick the box themselves; otherwise everything stays on email.)
Instellingen → Koppelingen → Communicatie → WhatsApp → Instellen (Settings → Integrations → Communication → WhatsApp → Configure). Only the owner can do this.
What it does
Two messages can go by WhatsApp instead of email: the appointment confirmation and the reminder. The texts say the same as the emails — your salon name, the date, the time, the services and the link to the customer portal — but they arrive where your customer already is.
The messages go out over HairConnect's own messaging infrastructure. There is no price per message: a hundred reminders cost you the same as none. The WhatsApp number is your salon's own, so your customer can save it and recognise it.
The other messages — reschedule, no-show and all the short emails such as the login code — stay email.
The fields
| Field | Required | Explanation |
|---|---|---|
| TextMeFlow-sleutel (TextMeFlow key) | yes | the key for your salon's WhatsApp number; you receive it when the number is connected |
| Bevestiging via WhatsApp (confirmation via WhatsApp) | no | on by default |
| Herinnering via WhatsApp (reminder via WhatsApp) | no | on by default |
What your customers send back
Until now WhatsApp went one way only. Whatever a customer typed back arrived nowhere.
Fill in the two fields below and a customer's message does come in, and is stored with her file — recognised by her mobile number. If she writes from a number you do not know yet, the message is kept without a file; that is the starting point of a new customer, not an error.
| Field | Explanation |
|---|---|
| WhatsApp-nummer van dit salon (This salon's WhatsApp number) | The number your customers reach you on, as +32…. This is what identifies a message as belonging to your salon — without it, a message arrives that fits nobody. The field accepts that form only: a +, the country code, no spaces or dashes. |
| Webhookgeheim (Webhook secret) | The 64 characters TextMeFlow shows when you save the webhook address with them. Without it, incoming messages are refused. |
The secret is not a formality. The webhook address is open on the internet; those 64 characters are the only difference between a message from your customer and a message from someone else.
Nothing is sent back automatically yet. Messages are accepted and stored; replying is a separate step, because that sends something to a real phone.
Who gets WhatsApp — and who does not
Only customers who asked for it themselves. The Remind me via WhatsApp box appears in three places:
- in the booking flow, right under the mobile number field;
- in the customer portal, under Preferences — where your customer can also switch it back off;
- on the customer record (Mag WhatsApp ontvangen — may receive WhatsApp), for those who ask at the desk.
If the box is unticked, or there is no usable mobile number on the record, nothing changes: that customer gets their usual email. Switching the module on therefore never sends messages to your whole customer base — nobody said yes to that, and unsolicited WhatsApp is exactly the kind of surprise that costs customers.
The send log
Under Klanten → WhatsApp-berichten (Customers → WhatsApp messages) you see every message: when, to whom, the full text, and whether it went out. A message that did not go out is listed too, with the reason — a red number in the menu counts the failures of the past week.
Each message also shows what became of it after sending: delivered, read or failed. HairConnect checks that every fifteen minutes, up to two days after sending.
A failed message is retried three times. If it still does not work, the usual email goes out anyway: your customer is not left without a confirmation because an integration is stuttering.
Frequently asked questions
Can my customer reply to the message? The message comes from your salon's WhatsApp number, so a reply arrives on the salon's phone — not in HairConnect. Taking bookings over WhatsApp chat does not exist (yet).
Does the reminder window change? No. The reminder follows the same setting as the email reminder (Instellingen → E-mail, 3 working days in advance by default). See Which emails your customer receives.
What if my customer changes their number? The message always goes to the mobile number on the customer record. Change it there and the next messages follow automatically.
