Cleaning up after the switch

Instellingen → Opkuis na de overstap (Settings → Clean-up after the switch). This screen appears in the menu as soon as your salon has switched from Optios with the wizard. It lines up three steps that put your records in order, and tells you for each step how far along you are.

Why clean up after the switch

When you switch, everything comes along, including what has not mattered for years: customers who never came back, products that are no longer in your cupboard, names and addresses that were once half typed in. None of that was transferred wrongly — that is how it was in Optios. But it makes your lists long, your searching slow, and your order suggestions full of products you will never order again.

How much difference it makes was measured at the first salon that switched: after the clean-up, just under 300 of more than 1,300 active products remained, and the list of clean-up proposals dropped from more than 1,400 to 55.

What never happens

  • Nothing is erased. What you tidy away goes to the archive. Your appointment history and your receipts stay in place.
  • No customer's e-mail address is changed.
  • No e-mail leaves without you pressing the button.
  • The clean-up sends nothing to Optios. What you tidy away here stays there as it was. Nothing changes at Optios unless you explicitly ask for it yourself during a round.

What you archive can be brought back. Only merging duplicate product records cannot be undone; you decide that pair by pair, and if in doubt, you leave the pair alone.

The three steps

The order is advice, not a lock: you may skip a step or come back to it later. But it has a reason.

1. Cleaning up clients

You choose a date. Customers who have had no appointment or receipt since then, and have nothing left to their credit, go to the archive and not to the bin. Then you put right the names, addresses and phone numbers that Optios passed on crookedly. A customer's e-mail address always stays as it was. How that works: Cleaning up clients.

This step comes first because the third step e-mails customers whose record the clean-up changed, and an archived record gets no post. Someone who has not been in for years should not get that e-mail. And the customers for whom something changed here that they would notice themselves, such as the spelling of their name, are exactly the ones you ask to check their details in the third step.

2. Cleaning up products

You choose two dates: a product record sold or used since then stays. Duplicate records, created when a supplier changed its packaging, are merged; the old and the new barcode both stay scannable. Brand, article number and supplier come from your supplier's price list. What is no longer in use goes to the archive and not to the bin, so that the till, the stock and your orders show what is really in your cupboard. 3. Letting clients confirm

Customers for whom the clean-up changed something they would notice themselves, such as a different letter in their name or a different house number, can be asked to confirm their record. Nobody gets an e-mail for a capital letter or a postcode taken from the register. You first send a test e-mail to yourself, and no e-mail leaves before you press the button. What you see on the screen

At the top: why you clean up and what never happens. Below that, the three steps, each with one sentence of explanation, its state and a button:

A step shows Bezig as soon as you do something in it: choose a date, archive, merge, correct a record or send a test e-mail. If you leave the suggested date and archive straight away, that date is saved, so you can also see later which date you worked with.

The first step that is still open has a coloured border: that is the best place to carry on. A completed step gets a tick instead of its number. Next to each button is a link to the article about that step.

Where you come across this screen

  • At the end of the switch wizard. Below the final report of Overstappen uit Optios (Switching from Optios) sits Volgende stap: opkuis na de overstap (Next step: clean-up after the switch), with a button. See Switching from Optios yourself.
  • On your overview screen. As long as the three steps are not completed, a block Opkuis na de overstap shows there what is still to do. Click Niet nu (not now) and it is gone until you log in again. As soon as the three steps are completed, it disappears for good.
  • In the menu, under Instellingen (Settings).

The screen and the block are only there for the owner and the salon manager. Cleaning up touches your entire customer list and your range.

If Optios is still running alongside

You can safely do this while Optios is still running alongside. A customer or product you archive here stays archived when a later round brings it in from Optios again: what you decide here, a round does not undo. Frequently asked questions

Do I have to do this? No. Everything works without a clean-up too. Your lists are just longer than they need to be, and you search in them for longer.

What is the difference with the Opkuisvoorstellen? The Opkuisvoorstellen (clean-up proposals) are single cases the import could not place: a duplicate customer, a receipt without a service. The clean-up after the switch is about the whole: which customers and which products you still want to see.

I tidied away too much. Nothing is erased. An archived customer or product record can be brought back; how is described in the article about that step. Only a merge of two product records cannot be undone.
