Receiving purchase invoices via Peppol
Updated on 2026-10-14
Purchase invoices your salon receives via Peppol appear in PaidOnce and are forwarded straight away by e-mail to your accountant.
PaidOnce → Aankoopfacturen (purchase invoices). You set it up under Instellingen → Koppelingen → Boekhouding → E-facturen via Peppol (settings → integrations → accounting → e-invoices via Peppol).
First: this does not redirect anything yet
Today your salon is registered with HairConnect's access point only to send e-invoices. Your suppliers therefore still send their e-invoices to wherever they arrive today — your accountant or your accounting software.
A business can receive on Peppol in only one place at a time. Moving that place to HairConnect is a separate, deliberate step that HairConnect takes together with you, and only once your accountant knows the invoices will come from here from then on. Until then nothing arrives this way and the list stays empty. The switch below does not change that.
Setting it up
Open Instellen (configure) on E-facturen via Peppol (the integration must be switched on):
| Field | What goes in it |
|---|---|
| Aankoopfacturen ontvangen in PaidOnce (receive purchase invoices in PaidOnce) | The switch. Off by default. On: HairConnect accepts purchase invoices the access point receives for your salon. |
Where the invoices go is not set here but in the Aankoopfacturen naar de boekhouder (purchase invoices to the accountant) integration: your accountant's forwarding address and whether the pdf goes along separately. That integration must be on, even if you only receive via Peppol. See Purchase invoices by e-mail.
What happens to an invoice that comes in
- The access point reports a document for your salon. HairConnect fetches it and stores it, with the e-invoice (UBL) exactly as the supplier sent it.
- From that e-invoice HairConnect reads the supplier, their VAT number, the invoice number, the invoice and due date, the amount, the payment reference and the account number. Anything that is not in the e-invoice stays empty — nothing is guessed.
- Straight after, the invoice goes in its own e-mail to the forwarding address, with the e-invoice attached (and the pdf, if there was one and the switch is on).
- Only once the mail server has accepted that e-mail does the invoice show as Doorgestuurd (forwarded) in PaidOnce, with date, time and address.
Each invoice comes in only once, even if the access point reports the same document twice.
If a notification was missed, HairConnect itself fetches every hour whatever is still waiting at the access point.
The list in PaidOnce
PaidOnce → Aankoopfacturen shows for each invoice: when it came in, the supplier, the number, the date and due date, the amount, the payment reference and account number, and whether it has reached your accountant.
| Status | What it means |
|---|---|
| Doorgestuurd (forwarded) | The mail server accepted the e-mail. Underneath: when and to which address. |
| Nog niet (not yet) | It is ready to go. |
| Mislukt (failed) | It did not work. Underneath: why, how many attempts there were and when the last one was. |
| Niet van toepassing (not applicable) | The Peppol document is not an invoice or credit note. It is stored, not forwarded. |
When forwarding fails
The reason is shown with the invoice — for example that no forwarding address or no mail server is set up. Fix that and press Doorsturen (forward) on the invoice. HairConnect also retries by itself every hour.
Opnieuw doorsturen (forward again) on an invoice that already went asks for confirmation first: at your accountant's it may become a second document. Only do it if they ask for it.
Who sees this?
Everyone who may open the PaidOnce tab: the owner, the accountant, and a manager or staff member who has PaidOnce switched on in their profile. See PaidOnce.
What is not there (yet)
- No payment status and no matching. This list does not yet show whether an invoice has been paid. That comes later in PaidOnce.
- No receiving without the registration. See the top of this article.
