Requesting leave

Updated on 2026-09-04

With HairConnect Social, a staff member requests their own leave in the app, and the owner approves or refuses it. Social is a paid level on top of the subscription, per staff member; everything that exists today — punching in, correcting punches, the time clock overview, hours worked, work schedules and entering absences under Team → Afwezigheden — stays in the base package.

Requesting your own leave

In the app, under Account, you'll find the Mijn verlof (my leave) block: your balance, the Verlof aanvragen (request leave) button, and below it what you have already submitted with its status. You pick a start and end date, optionally a type, and you can add a note. The request goes to the approver named above it.

A request that is still waiting for an answer blocks nothing: it shows hatched in the calendar so everyone can see something is pending, but clients can still book those hours online. Only once it is approved does that time disappear from the calendar, from online booking and from the roster. If it is refused, you get to read the reason and nothing changes.

Approving or refusing

Under Team → Afwezigheden, every open request carries Goedkeuren (approve) and Weigeren (refuse); the number waiting shows next to the menu item. Refusing is only possible with a reason — your colleague reads it in their app. You need the Verlofaanvragen behandelen (handle leave requests) right; the owner and a manager have it by default. Appointments already booked inside the approved period stay put: moving or cancelling them is up to you.

The balance

The balance appears on the staff record under Team → Medewerkers → Verlof and in the app. It is calculated from three things: the yearly leave entitlement you enter on the record (in hours), the planned hours of the days the leave falls on, and the approved leave already taken. So a day of leave costs the hours that were planned that day — half a day costs half a day, and leave on a day someone does not work costs nothing.

It is shown in hours, not days. What a day is worth differs per person and per day; "twenty days" would be a wrong number for anyone working part time.

If the balance cannot be worked out, it does not show zero but the reason. That is deliberate: a zero says your leave is used up, and that must never fall out of a gap in the data. You will read, for instance, that the leave entitlement is not yet on the record, that there are approved absences without a type, or that no roster is known for a day of leave. Every reason names the screen where you fix it.

HairConnect calculates neither pay nor statutory leave entitlement. It records what was agreed and measures what is taken; the rest is for the payroll office.
