Clocking with the app

Updated on 2026-08-28

You can also clock in and out with your own phone: first you confirm that it is really you (Face ID, Touch ID or your passcode), then you scan the QR code on the salon's punch screen. Two seconds of work, and it rules out exactly the two things that make a punch clock vulnerable: nobody can clock for a colleague, and nobody can clock from home.

Why this way, and not simply a button in the app?

A "clock in" button in an app proves nothing. Whoever has the app can press it — in the salon, on the bus, or in bed. That is why HairConnect asks for two proofs at once:

  • Who is clocking? Your login says so. The app is signed in with your account, and that account is linked to your name on the payroll. Face ID guards that login on your device, and right before clocking the app asks for a fresh confirmation — even if you open the app without Face ID.
  • Where and when are you clocking? The QR code says so. The punch screen in the salon shows a code that changes every thirty seconds and that the server draws itself. Whoever can scan the code is standing in front of that screen at that moment. A photo of the code that someone forwards is worthless after a minute and a half at most — and even within that time, a colleague can only clock themselves with it, never you.

With the app you therefore always clock as yourself. But let us be honest about the limit: as long as the open Aanklokken buttons also stand on the punch screen on the wall, anyone in front of that screen can still tap a colleague's name there. The guarantee "nobody clocks for someone else" only holds for the whole salon once the owner switches on Prikken alleen met de app (clocking with the app only) (Instellingen → Prikklok): those buttons then disappear and the app is the only way. Without that setting, clocking with the app is a convenience, not a lock.

What you need

  1. The HairConnect app on your own phone, signed in with your own account (see The app on your iPhone and iPad).
  2. Your account must be linked to you as a staff member. The owner does this under Salon → Gebruikers (users), field Medewerker (staff member).
  3. For you as a staff member, Moet prikken (has to punch) must be switched on (Salon → Medewerkers).
  4. The punch screen must be visible somewhere in the salon (Salon → Prikklok), because that is where the code you scan is shown.

How to clock

  1. Open the app and choose Prikken (clock) in the bar at the bottom.
  2. Tap Prikken and confirm with Face ID or Touch ID. If your device does not have it, it asks for your passcode. This confirmation always comes, even if you open the app without Face ID — it is about the moment of clocking, not about opening the app.
  3. The camera opens. Scan the QR code on the punch screen of the salon.
  4. Done. You immediately read what happened, with your name:
    • Nova is ingeklokt (Nova has clocked in)om 09:02 (at 09:02)
    • Nova is uitgeklokt (Nova has clocked out)om 18:11, vandaag 8 u 24 gewerkt in deze prikbeurt (at 18:11, 8 h 24 worked today in this punch)

There is deliberately a name in that answer. If you see someone else there, your account is linked to the wrong staff member — report it to the owner right away, because your hours are then ending up with someone else.

Whoever is in clocks out with the same scan; whoever is out clocks in. Same rule as on the punch screen.

When it does not work

What you read What is going on
Deze code is verlopen. Het prikscherm toont elke halve minuut een nieuwe — scan opnieuw. (This code has expired. The punch screen shows a new one every thirty seconds — scan again.) You were just a bit too slow, or the screen was showing an old code. Simply scan again; the new code works.
Deze code is net al gebruikt. Wacht op de volgende code en scan opnieuw. (This code has just been used. Wait for the next code and scan again.) You scanned twice in quick succession. Each code works once per person. Wait until the screen shows a new code (thirty seconds at most).
Dit is geen geldige prikcode. Scan de QR-code op het prikscherm van het salon. (This is not a valid punch code. Scan the QR code on the salon's punch screen.) You scanned something else — a gift card, a booking link. Only the code on the punch screen counts.
Deze code hoort bij een ander salon dan waar je bent aangemeld. (This code belongs to a different salon than the one you are signed in to.) Only possible when several salons work with HairConnect. You are scanning another salon's screen.
Je gebruiker hangt niet aan een medewerker. (Your user is not linked to a staff member.) The account → staff member link is missing. The owner fixes this under Salon → Gebruikers.
{Naam} hoort niet te prikken. ({Name} is not supposed to punch.) Moet prikken is switched off for you. That, too, is under Salon → Medewerkers.

The app never fails silently: every refusal is spelled out on the screen. A punch clock that stays quiet lets someone believe they have clocked.

What happens with Face ID — and what does not

This is stated so explicitly because it is about your face, and because the honest story is shorter than the rumours.

  • This is not facial recognition by HairConnect. We do not recognise your face and we cannot. The check happens entirely on your own device, by iOS or Android itself — the same mechanism that unlocks your phone.
  • No biometrics go to the server. No photo, no scan, no derived code of your face or fingerprint. The device only tells the app "yes" or "no", and that is all we ever get to see.
  • What the server does see: that your account, from your signed-in device, submitted a valid code from the punch screen at this moment. So the guarantee is: the token on your phone is personal, Face ID guards that token on the device, and at the moment of clocking a fresh confirmation is added. The system promises no more than that — and no less either.
  • No Face ID on your device, or switched off? Then your passcode counts as confirmation. That is your own device's trade-off, not ours.

In the overview

In Salon → Prikklok-overzicht, a punch made via the phone gets the origin badge app. As an owner you see at a glance what was punched on the wall (geprikt), what came via the phone (app), and what was entered by hand (handmatig). Correcting works the same for all origins: see Checking and correcting punches.

If you clock in on the wall and out with the phone (or the other way around), the punch keeps the badge of the clock-in — it is one measurement, not two.

Frequently asked questions

Do I have to clock with the app from now on? Your salon chooses. By default the buttons on the punch screen keep working and the app is an extra convenience. If the salon switches on Prikken alleen met de app, those buttons disappear and the app becomes the normal way.

Phone forgotten or dead? Then the owner clocks you in via Salon → Prikklok-overzicht → Handmatig aanklokken (clock in manually), with a reason. That punch gets the handmatig (manual) badge — so your hours are never lost just because your phone is.

Can the owner see where I am? No. The app sends no location. The only thing a successful punch proves is that you were standing in front of the punch screen at that moment — because you were able to scan the code.

My phone is dead and the buttons are still there. Then you punch on the screen on the wall, as always. The hours end up in the same place.
