Letting clients confirm

Instellingen → Klanten laten bevestigen (Settings → Letting clients confirm). This step belongs to the clean-up after moving over from Optios. It stays in the menu until you mark it as done.
After the move, client records were worked on: names corrected, numbers checked, addresses split. Here you let the client confirm what changed in their record — but only when it is worth asking.
Why not everyone gets an email
Most of what the clean-up did is self-evident, and nobody gets an email about it:
- a capital letter or a space ("Van eetvelde" became "Van Eetvelde");
- a hyphen, accent or full stop in a street or town name ("Sint amandsberg" became "Sint-Amandsberg");
- a postcode that belongs to the town the client gave, or a town that belongs to their own postcode;
- a postcode or town moved from the wrong field to the right one;
- a dash or slash typed as filler that is now empty.
Everything else is on the list: a different letter in their name, a different house number or street from the address register, a different town, a number that changed or disappeared. When in doubt, the client is on the list: one email too many costs them a click. Anyone not on the list gets nothing.
An incomplete phone number also puts the client on the list: a mobile number that was one digit short in Optios did not make it onto the record, and the confirmation page then asks them for their number, with what Optios had underneath.
Only clients who are still active are on the list. An archived record gets no mail.
What you see per client
- What the clean-up changed: per field, what it said and what it says now.
- Last visit, so you can see whether it is a regular.
- Status: not sent, sent (with the date), sent but the link expired, confirmed, or corrected — the client then fixed something themselves.
- Email possible: a client without an email address, or with an address that Optios put on its blacklist, cannot get an email. They stay on the list with the reason: ask them at the desk.
What the client sees
The same "Please check your details at …" email a new client gets, with one difference: at the top it says the record was tidied up during the move, and under each changed detail it shows Said before with the old value.
The button takes them to a page with their details. They confirm with one click, or first correct what is wrong. They cannot change their email address there: that is the address the email arrived at. The link stays valid for fourteen days.
A test email first
Press Proefmail naar mij (test email to me) at the top and pick a client as the example. You get the email that client would get, at your own address, with their details in it. The client gets nothing, and the button in a test email does not work.
As long as no test email has gone out, you cannot send to a group.
Sending
- Per client: the Stuur ter bevestiging (send for confirmation) button on their row.
- As a group: tick clients and choose Stuur ter bevestiging for the ticked rows.
The confirmation window says how many emails will go out and from which address: your salon's mail server if you set it up under Koppelingen, otherwise HairConnect's standard mail server. Clients without an address, on the blacklist or who already confirmed are skipped and then reported by name.
If a client already got such an email in the last fourteen days, a second one asks for an extra tick — per client, or for a group with a separate switch. That way nobody gets the same email twice by mistake.
If no mail server is set up yet, or the "check your details" email is switched off under Instellingen → Online boeken, the screen says so and nothing goes out.
Finishing
Done? Press Stap afgerond (step done). The step disappears from the menu; nothing is sent and nothing is deleted. Heropenen (reopen) brings it back.
What never happens
- An email never goes out by itself: not when the screen opens, not at night, not because the list was ready. Every email starts with a click from you.
- The clean-up never changes email addresses.
- A client without an email address or on the blacklist gets nothing, not even in a group.
- There is no second kind of email: it is the usual check-your-details email, with the same page.
