What the client sees

Updated on 2026-09-04

Your booking page has its own address, in the form .../en/your-salon. The page exists in Dutch, French, English and Bulgarian; the client picks their language in the address.

The booking runs in five steps. At the top of each step you see Step 3 of 5 with the name of the step: Service · Stylist · Time · Details · Confirm. From step 2 onwards there is also a summary block Your appointment with a Change link on each line.

Before that comes one question without a number: sign in, or continue without. The counter starts at the service.

First: have you been here before?

Whoever opens the booking page gets this question first, in two equally sized cards side by side:

  • Sign in — field Email address, checkbox Stay signed in on this device (on by default) and button Send me a code. This is the same sign-in as the one in the customer portal: a code in the mailbox, no password.
  • Continue without signing in — button Continue, straight to step 1.

Signing in is never compulsory. A client coming for the first time has no record yet and therefore no mailbox for a code to arrive in; for them the second card stands just as large next to the first. If they choose Continue without signing in, that choice holds for this visit — if they return next month, the question comes back.

What signing in gives your client

  • Their details are already filled in at step 4: first name, surname, email address and mobile number. They can still change them, and their record does not change because of it. Anything we should know? stays empty — that is a message about this appointment.
  • Their appointment lands on their own record, not on a second record with an address that differs by one letter.
  • They see their upcoming appointments at the top of the page, with Move and Cancel — which take them to their customer page, where the deadline and any fee are stated.
  • They see their last three visits, each with the button The same as last time. One tap and the same treatment is filled in; they then only pick a stylist and a time. A treatment you have since removed from your online offering cannot be booked that way: they read That treatment is no longer bookable online. Choose below what you would like done.

Nothing there goes beyond what they already see in their customer page.

Welcome back

Whoever is signed in no longer sees the question. At the top of their booking page it then says Welcome back, Anne, with My salon and Sign out next to it.

Signing out is one click and wipes everything of theirs in that browser: their sign-in, and the booking they had half finished. That is there for the shared device — the iPad at your counter, the laptop at home. After that the question is open again, so the next person can sign in.

Stay signed in, or not

The checkbox Stay signed in on this device is on by default, with underneath: Switch this off on a device you share: your session then ends as soon as you close the browser.

  • On — the browser keeps the session for thirty days.
  • Off — it disappears as soon as the browser closes.

In both cases the sign-in itself stays valid for thirty days; the checkbox only decides how long the browser remembers it. The same checkbox appears on the sign-in screen of the customer page and on the screen where the code is typed — because someone who clicks the link in the email never sees the first two screens.

Step 1 — Service

Heading: Book an appointment, and below it What would you like done?

Your welcome message appears at the top, if you set one.

Then two blocks:

  • Packages — your packages. Each package is a single button that goes straight on to the next step. A package with no services attached to it does not appear.
  • Individual services — tick boxes, grouped by category in your own order. You can combine several services in one appointment.

Price and duration only appear if you switch those settings on. A service that is for existing clients only carries the badge For returning clients only.

At the bottom, two smaller buttons: Ask us to call you and Waiting list.

Button at the bottom: Continue. Without a choice you read Pick a service first.

Just say what you want

If the salon's assistant is switched on, step 1 starts with a box Zeg het Hairlien (Tell Hairlien), with the name you gave the assistant. The client types or speaks one sentence in their own language: a haircut next Tuesday, adding a stylist's first name if they have a preference. The assistant then fills in step 1 and step 2 — the package or service, and the stylist if one was named — and takes the client to step 3, the free slots of the requested day. There they pick a slot themselves and go through the rest like everyone else.

What goes to the language model: the client's sentence and what the booking page itself shows — opening hours, the packages and services bookable online, and the team's first names. No other client, no appointment. Whatever the model returns as a treatment is checked against what you offer online; something you do not offer cannot come out. When in doubt, the assistant asks back, in the client's language.

The microphone uses the client's own browser speech recognition; typing always works. It keeps listening until the client clicks the microphone again or says "enter" — a silence in the middle of the sentence does not cut the recording short — and closes by itself after two minutes or after thirty seconds of silence. Without JavaScript the box still works as a plain form. With the assistant off, there is no box. Say "enter" at the end and the sentence is sent straight away; no click needed. Clicking the assistant’s face does the same as the microphone.

Step 2 — Stylist

Heading: Who would you like to see?

At the top the button No preference with below it Whoever is free will help you. — if you allow that option. Then every staff member with a photo or an initial.

At the bottom the tip: No room left? Pick “no preference” — that often helps.

Cabins and chairs do not appear here.

Step 3 — Time

Heading: When suits you?

The free slots are grouped per day, with the full day name and date as the title. Each slot is a button with the time on it; with no preference it says with Kris underneath.

  • A slot that fits exactly between two appointments gets the label Fits neatly.
  • A busy day gets the badge Busy, with Little room left on this day.
  • If there are more slots than you set, you read and 6 more times.
  • Navigate by week with ‹ Earlier and Later ›. Closed days are skipped.
  • If the client wants to look much further ahead — the Christmas holidays, say — they do not have to press Later twenty times: with Vanaf (from) they pick a date straight away. They cannot go beyond your booking window.
  • At the bottom: You can book up to 3 months ahead.

If nothing is free, No free time found appears with the text Try a later week, or pick “no preference”. Still nothing? Join the waiting list — we let you know as soon as something opens up. and the buttons Add me to the list and Call me back.

See How HairConnect picks free slots.

Step 4 — Details

Heading: Your details, with above it We need your email address to confirm the appointment.

Field Required
First name yes
Last name yes
Email address yes
Mobile number yes
Anything we should know? no — (optional), with An allergy, for instance, or that you are bringing the baby.

If the client signed in, the first four fields are already filled in with what is on their record.

Button: Continue.

Step 5 — Confirm

Heading: Your appointment. A receipt with the date in large type, then Service, Stylist, possibly Duration and Total, and the client line with a Change link.

Below that the block Before you confirm:

  • You can cancel up to 2 working days in advance.
  • You can reschedule up to 2 working days in advance.
  • You will get an email to confirm your appointment. (only when you have email confirmation switched on)
  • below that your cancellation terms, literally as you typed them.

Button: Confirm appointment.

Done

A seal with a tick, the heading Your appointment is noted, and a receipt with the date, the weekday, the time, the Stylist and Where — your salon name with street, postcode and town.

Below that, where applicable: Check your inbox and confirm through the link we sent. and You can cancel up to 2 working days in advance.

Two buttons: See your appointments on your client page and Book another appointment.

The question about measurement

At the foot of the booking page, a bar asks once whether it is allowed to count how the page gets used. Two buttons, both the same size: No, do not measure and Yes, you may measure.

  • If your client says no, nothing goes out and the question does not come back.
  • If they say yes, Google Analytics counts which booking step they reach — Service, Stylist, Time, Details, Confirm, Done — and nothing else. Not their name, not their email address, not their telephone number, not their appointment, and not even your salon's name: only the route pattern is sent, for example /boeken/moment.

At the foot of every page there is Change your measurement choice, so they can come back to it.

The customer portal is not measured. When your client signs in there is no measurement script on the page and the question does not appear. That is a choice, not an oversight: behind that sign-in sit their appointments and their colour history.

This is HairConnect's own measurement, not yours. There is nothing for you to set up and you get no report out of it; what is measured is set out in full in the privacy statement on hairconnect.be.

What is not on the booking page

  • No payment step. There is no deposit or prepayment in the booking flow.
  • No consent tick boxes in the form. No "I agree", no newsletter box. The only text with terms is your own cancellation terms on step 5. The measurement bar above is separate from the form and blocks nobody.
  • No SMS. Everything runs by email.

Ask us to call you

The button asks for one thing: the email address on the customer's profile. No phone number.

That is deliberate. The booking page is open on the internet, and as long as it accepted a bare number, someone could leave another person's — and then you called someone who never asked for anything. The call now goes to the number on the file.

If you do not know that address, or it was never confirmed, the customer reads: We only call customers we know. Create a profile first — then we have your number and we know who you are. Unknown and unconfirmed give the same answer; the difference would reveal who is in your customer list.

Frequently asked questions

It says "The calendar cannot be searched right now". The search engine was briefly unreachable. The client then deliberately does not get an empty list but an explanation, with the buttons for a call back and for the waiting list.

A client cannot book and reads "Online booking is not possible for this address. Please contact the salon." On their client record, Geblokkeerd voor online boeken (blocked for online booking) is switched on.
