Mail via HairConnect

Uw mails vertrekken via HairConnect, met uw adres als afzender. U ziet dan bij elk bericht of het aankwam of geweigerd werd. (Your emails leave through HairConnect, with your address as the sender. You then see for each message whether it arrived or was refused.)
Instellingen → Koppelingen → Communicatie → Mail via HairConnect → Instellen.
Why
If your salon sends through its own mail server, for example a Google Workspace account, HairConnect only knows that an email left. Google does not report back whether it arrived.
With this integration your emails leave through HairConnect's mail server, and that one does report it: Afgeleverd (delivered), Uitgesteld (delayed) or Geweigerd (refused), for every message on the customer record and in Verstuurde berichten. See Messages to and from a customer.
Your customer notices nothing. The email comes from your address, with your salon's name, and whoever presses reply reaches you.

The name with it and the reply address are under Instellingen → E-mail. If there is no reply address there and no email address under Het salon either, replies go to the sender address.
The three steps
An email from your address that leaves from a server your domain does not know ends up in spam at Gmail and Outlook, or is refused. That is why your domain has to allow HairConnect first. The setup window shows where you stand.
- HairConnect registers your domain with its mail server. You cannot do this yourself: ask HairConnect. The setup window tells you whether it has happened.
- You, or whoever manages your domain, put two records in your domain's DNS. The setup window shows them literally, ready to copy:
- SPF: a TXT record on the domain itself that allows HairConnect's mail server. If there is already an SPF record (it starts with
v=spf1), one part is added to it. There must never be a second SPF record next to it: with two, a receiver rejects both. If there is none yet, HairConnect proposes the full record. If your mailboxes are with Google or Microsoft, that is included too; otherwise email you send from there yourself would look suspicious. - DKIM: a TXT record on a name like
postal-…._domainkey.yourdomain.be, with the key HairConnect signs your emails with.
- SPF: a TXT record on the domain itself that allows HairConnect's mail server. If there is already an SPF record (it starts with
- Press Controleer DNS (check DNS). Only when it is green can the toggle be switched on.
A DNS change is not always visible everywhere straight away; sometimes it takes an hour. If the check is still red, try again later.
Controleer DNS
For this integration the test button is called Controleer DNS. It sends nothing: it reads your domain's DNS and says per record In orde (fine), Ontbreekt (missing) or Klopt niet (wrong), with what has to be there and what is there now. The outcome then also shows in the setup window.
When it is not (or no longer) right
- As long as the check is not green, everything stays as it was. Your emails leave through your own mail server, with the same settings.
- Every night the DNS is checked again. If a record disappears, for example because your domain moved, your emails fall back to your own mail server by themselves. The reason is shown with the integration, with the badge Aan, maar onvolledig (on, but incomplete). Put the record back and press Controleer DNS, and it goes through HairConnect again.
- If you change the sender address to another domain, the previous check no longer counts. Press Controleer DNS again.
So keep your own mail server set up: it is the fallback.
Which emails take this route
All emails of your salon: confirmations, reminders, invoices, receipts, portal codes, and also the emails to your accountant and your orders to a supplier. Only the emails to customers appear in Verstuurde berichten.
Opened and clicked
Nothing changes there. HairConnect's mail server never tracks by itself whether an email was opened. That only happens if you switch it on under Instellingen → E-mail → Opvolging and the customer agreed to it.
Mail komt niet aan (email does not arrive)
If a customer's mail server refuses your email, their address gets the mark Mail komt niet aan on the customer record and in Verstuurde berichten, with what the customer's server said. The address itself is not changed: check it with the customer and correct it on the record.
