Creating a client record

Where do I find it?

In the menu under Klanten → Klanten (Clients → Clients). The button to add a new client is at the top right.

You can also create a client in one go from the calendar: in the Nieuwe afspraak (new appointment) window, just type a name into the client field. That name becomes the first name of a new record; you fill in the rest here later.

The form

No field is mandatory. So you can save a record with nothing but a first name. A record without a name is listed as Naamloze klant (unnamed client).

The language decides which language the client's emails are sent in, and which language the customer portal opens in.

Adres — address

Three fields — Straat en nummer (street and number), Postcode (postcode), Gemeente (town) — in a section that is collapsed by default.

Careful: HairConnect sends no SMS at all. The checkbox stores the client's consent, nothing more.

The Voorschot verplicht checkbox is not enforced anywhere in online booking today either. It is a note to yourself.

If you switch on Geblokkeerd voor online boeken, that client reads on the booking page: Online booking is not possible for this address. Please contact the salon.

The list

Sorted on last name by default — that is how you search at the desk.

You can search on first name, last name and email address.

Filters: Geblokkeerd voor online boeken, Topklant and Zonder e-mail én gsm (without email and mobile) — that last one is handy for cleaning up your file.

Clicking a row opens the record, not the form. Nine times out of ten you want to see the colour formula, not change something. For the form you use Bewerken (edit).

Archiving a client

The Verwijderen (delete) button on the edit page archives the record: it disappears from the list, but eight years of appointment history stay in place. On the record of an archived client you read Deze fiche is gearchiveerd via het migratie-overzicht.this record was archived through the migration overview.

If you really want to erase, use Definitief verwijderen (delete permanently). Herstellen (restore) brings an archived record back.

What ends up in the audit log

Changing and deleting a record is recorded, along with which fields changed. Creating is not — that happens for every new client and says nothing.

Colour formulas do not go into the audit log. They are the most sensitive data in the software, and copying them to a second table would give them a different retention period — exactly what you don't want when a client asks to be erased.

Frequently asked questions

Can I edit or delete several clients at once? No. There are no bulk actions on the client list.

Why is there a client with an odd name like "levering droogkast" in my file? That one comes from Optios, where such things were noted down as a client record. Look under Migratie → Opkuisvoorstellen (Migration → Cleanup proposals): HairConnect suggests archiving them there, keeping the calendar blocks attached to them.
