The soorten (types) are not a fixed list. They came across with the Optios import as Feestdag, Verlof, Ziekte, Opleiding, Onbetaald verlof, Inhaalrust, Moederschapsverlof and Klein verlet. This screen offers no way to manage them.

There are already appointments in that period

As soon as you pick a staff member and a period, the screen checks which appointments fall inside it. If there are any, an orange box appears at the bottom of the form — before you save:

Deze afwezigheid wordt gewoon bewaard. Verzet of bel deze afspraken zelf af — dat gebeurt hier niet vanzelf. — This absence is saved as it is. Move or cancel these appointments yourself; that does not happen here automatically.

The box recalculates as soon as you change the staff member or the dates, so you can hunt for a half day of leave that hits nobody without saving first.

The warning blocks nothing. That is deliberate: someone who is ill is ill, even with six appointments on the books. An absence is therefore always saved. When booking an appointment, a clash is refused — two customers at the same time with the same hairdresser does not exist.

What counts and what does not:

Hours in which the staff member is actually working on a customer counts
Processing time — the colour is developing and the hairdresser is free does not count
Cancelled appointments and no-shows do not count
Appointments with another staff member do not count
Hele dag (all day) ticked the whole day is checked, not just the hours you entered
Status Geweigerd (refused) no warning: that absence takes nothing out of the roster

An appointment made up of several parts — cut, let it develop, finish — shows as a single line: it is one visit that has to be moved. If no customer record is attached to the appointment, the line reads klant onbekend (customer unknown). No name is invented.

The rule that counts

Only an absence with the status Goedgekeurd (approved) is deducted from the scheduled hours.

A requested or refused absence does nothing to the roster.

Without that deduction, a week of holiday would show up in the time clock overview as a shortfall of forty hours, and you would go looking for hours nobody should have worked.

Half a day of leave takes half a day off the roster: the calculation uses the overlap, not the Hele dag checkbox.

In the calendar

An absence appears as a hatched band in that staff member's column, with the reason written inside it. You cannot click or drag it.

What is coming up is at the top: the past is no longer yours to solve.

Frequently asked questions

A week of leave only shows up as a single day after the migration. That is a known pitfall of Optios: there, one absence is repeated under each day it covers, each time with the same key. Check it and extend the absence manually.

Does an absence block online booking? It takes the time out of the roster, so the search for free slots no longer offers those hours.

I see no warning even though there is an appointment. Check that the right staff member is selected and that the status is not Geweigerd (refused). If the appointment only falls inside the processing time of a colour, the hairdresser is free at that moment and there is nothing to move.
